Inside Sales Coordinator/Administrative Support

The Inside Sales Coordinator/Administrative Support plans, organizes, directs, and controls the activities associated with the sales.

Sales Administrative Support:

  • Assist sales staff with copper hedge, price quotations, and customer communication to include order acknowledgement, pricing confirmation, and logistics
  • Process all sales orders and submit to corporate sales office
  • Process all sales documents and enter data in system
  • Works in coordination with corporate sales office for all domestic and export orders
  • Manage open order log and ship log
  • Maintain customer files with appropriate order documentation
  • Assist customers with logistics and maintain an approved freight supplier list
  • Negotiate freight contracts with approved freight carriers/brokers
  • Schedule outgoing freight and assist with shipping documents
  • Assist with sales reports
  • Attend sales meetings as required
  • Assist in sales budget as required


  • Work in close coordination with accounting department to ensure that transactions are processed accurately and in a timely manner
  • Back up to accounting function

Manufacturing Customer Service Representative

The Manufacturing Customer Service Representative will serve as point of contact for customers. Processes orders, prepares correspondence, and strives to fulfill customer needs to ensure customer satisfaction. Acts as primary liaison to customer procurement for daily activities. Responsible for ensuring the company’s customers receive an adequate level of service or help with their questions and concerns.

  • Respond to initial customer requests for information and pricing. Coordinate responses from technical staff and provide commercial information including quotes, product literature, material data sheets, and samples.
  • Attracts potential customers by answering product and service questions; suggesting information about other products and services.
  • Prepare formal quotations using MS Word and log quotations for proper forecasting.
  • Maintain data in Customer Relationship Management (CRM) systems to insure latest customer information is available for sales planning and analysis.
  • Maintain relationships with customers for day to day activities to insure customer satisfaction.
  • Process new and revised orders using order entry software and stock listing. Provide updates on order status as requested by customers and to insure on time deliveries.
  • Partner with sales rep to meet and exceed customer’s service expectations.
  • Coordinate timing and details for shipments to insure compliance to customer requirements.
  • Participate in production and stock planning meetings to act as customer liaison.
  • Process invoices to customers to insure agreement with shipments and Purchase Order requirements.
  • Coordinate or participate in sales campaigns including mailings, show follow-ups, and promotional activities.
  • Resolves product or service problems by clarifying the customer’s complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution.
  • Prepares product or service reports by collecting and analyzing customer data by sales.
  • Perform other duties as assigned.
