The Administrative Assistant serves as the first point of contact for visitors.   As such, the Administrative Assistant should always exemplify the company values:  Respect, Compassion, Honor Diversity, Positive Attitude, and Accountability.

  • Maintain calendar of Executive Director
  • Set appointments
  • Arrange meetings, order food, etc.
  • Correspondence and emails as directed.
  • Other duties as assigned by Executive Director
  • Answer and Route all incoming calls
  • Greet visitors and screen for appropriate information
  • Direct all incoming visitors to their appropriate destinations
  • Maintain and record SHFB voicemail for holidays and events
  • Open and sort mail.
  • Create deposit slip
  • Maintain inventory of and order office supplies/stationary
  • Enter invoices into Accounts Payable, match to payments, file invoices under the supervision of the Business Manager
  • Maintain credit card receipts and match to invoices
  • Print monthly statements
  • Occasionally be available for special events and functions on weekends and after regular working hours when needed

 After 60 days of full time, permanent employment:

  • Health Insurance ($10-$15 per biweekly pay period employee contribution for EE coverage, dependent coverage available at additional cost
  • Dental and Vision Insurance – 100% paid by employer for EE, dependent coverage available at additional cost
  • Short and Long Term Disability and Life Insurance (EE only) 100% paid by employer
  • PTO – 1 week after 6 months of full time, permanent employment, 12 days after 1 year.

  • Answer incoming calls and handle appropriately
  • Create quotes based on customer requirements
  • Process orders based on customers purchase order
